Abstract preparation instructions

Short Instructions

Use the Microsoft Word formatting document to prepare your document.  All abstracts will be converted to PDF upon upload.

  • Page limit of the abstracts: 2-pages maximum
  • Page numbering: Do not use page numbering and do not otherwise insert page numbers.
  • Text: Text should be typed single-spaced. No indentation and spaces should be placed between paragraphs.
  • Figures, Tables, an Equations: Embed figures (colored or black& white) into the text in a manner that will be explained in detail later in this document. Tables should be placed after their first reference in the text. equation should be presented on a separate line from the text with a blank space above and below.
  • Language: All abstracts must be written in English.
  • Acknowledgements (optional): The Acknowledgments section may be added before references.
  • References: Only one reference style is recommended e.g., AIP, IEEE, OSA, etc.

Detailed Instructions

The detailed instructions for preparing the abstracts are given below.

  • Presentation type: Please indicate your preferred presentation type, either ‘oral presentation’ or ‘poster presentation’.
  • Title, Authors, and Affiliations: Please include titles, authors, and affiliations on the abstract you upload. Use upper- and lower-case letters for the title. Type the author names in the order you want them to appear in the final abstract. Use first names, middle initial and last names. Type the affiliations of the authors in the correct order and exactly as you want them to appear in the final abstract.
  • Tables, Figures and Equations: Ensure proper flow of figures within the text.
    • If you are using color figures, please verify that they are readable and clear when printed in black and white.
    • Tables and figures should be placed after their first reference in the text. Roman numerals should be used for tables and Arabic numerals for figures. Table captions should be placed above the tables. Figure captions should be placed below the figures or to the side. Figure captions and reference to figures in the text of the abstract must use the style of: Figure 1, Figure 2. Do not bold figure references in the text. Scale markers should appear on all micrographs.
    • Each equation should be presented on a separate line from the text with a blank space above and below. The equation should be numbered at the outer right margin of the text; the equation number should appear in parentheses, e.g. (1).
  • Language: All abstracts must be written in English. If English is not your native language, please have your abstract edited for correct English grammar and sentence structure prior to submission.
  • Acknowledgements (optional): The Acknowledgments section should list funding sources for the specific work covered in the abstract as required by sponsors or agencies. Personal acknowledgments may also be included.
  • References:
    • The American Institute of Physics (AIP) reference style is recommended although other styles (such as IEEE or OSA) may be used. The chosen style must be used consistently throughout the manuscript.
    • Reference numbers in the text should be designated by square brackets, e.g., [1].
    • Book references should be complete and include the page number to which the author is referring. Journal references should include "et al.", if possible.
    • Proceedings references must contain sufficient information to enable the reader to identify and retrieve the referenced volume.
    • References to classified or confidential/proprietary documents should be avoided wherever possible.
    • Because there is no guarantee that referenced URLs or links will be sustained, so such references should be avoided.

  • Style for title: Bold face Times New Roman of size 14
  • Style for body: Times New Roman of size 11
  • Style for Acknowledgements and References Headings: Bold face Times New Roman of size 11
  • Normal margins given in MS Office should be used.
